POSITION PURPOSE AND EXAMPLES OF WORK:

POSITION PURPOSE: To manage staff in the efficient operation and development of case management functions and administrative support programs and functions which are required by the Family Court Division.

MAJOR TASK STATEMENTS AND REPRESENTATIVE ACTIVITIES (Percentage of Time): (The information contained herein is not intended to be an all-inclusive list of the duties and responsibilities of the job; other tasks/duties may be assigned. Management reserves the right to amend and change responsibilities, work shift/schedule, facility, or department to meet business and organizational needs as necessary, including but not limited to the re-assignment of employees and positions, elimination of positions, and opening, moving, or closing of facilities and units.)

45% Manage staff in the development and daily operation of administrative support functions which involve, records management, docketing and court orders.
· Schedule, assign, guide and monitor the daily work of staff in the operation and development of an administrative support unit which includes such functions as the docketing of cases, records management and court orders.
· Develop and implement daily operational protocol.
· Recognize, investigate and resolve a variety of problems and provide input.
· Serve on a variety of committees in order to enhance services.
· Participate in decisions and recommendations on employment, retention, promotion, progressive discipline and related personnel actions.
· Provide leadership, direction, guidance and training to staff in all aspects of docketing of cases, records management and court orders.
· Assess staff performance.
· Perform related work as required to include but not limited to serve on teams/committees as assigned, cross-train for other jobs as assigned, and work on special projects as assigned.
30% Develop, implement, and monitor court operational procedures and case management systems.

15% Prepare and review a variety of routine and non-routine reports and other
documents which may require the use of specific computer software. 10% Perform administrative duties relative to fiscal operation of departments.
SUPERVISION OF: Directly supervise Supervisor, Records, Clerk II’s, and Receptionist. Indirectly supervises Clerk II’s through Supervisor, Records.

SUPERVISION BY (Include level of Supervision): Director of Support Services provides general supervision.

SERVICE RESPONSIBILITY: PRIMARY EQUIPMENT, TOOLS, MATERIALS USED: Computer, telephone, copier/printer/scanner/fax, various reports and forms, computer generated or handwritten, program manuals, Judiciary operating rules or handbooks.

KNOWLEDGE , SKILLS, AND ABILITIES: Knowledge, skills, and abilities required to function at an acceptable level in the position.

· Considerable knowledge of court procedures, legal documents, law and legal factors pertaining to the Court.
· Considerable knowledge of the organization, operations, functions and scope of authority in the assigned area of the court.
· Knowledge of effective supervisory and management techniques.
· Knowledge of personnel practices and procedures.
· Ability to make sound decisions in accordance with laws, regulations and Court policies and procedures.
· Ability to maintain a variety of complex records and prepare reports from such records.
· Ability to communicate effectively, clearly and concisely, both orally and in writing, and to prepare clear and concise reports, letters and other documents.
· Ability to organize, supervise and coordinate departmental activities in a manner conducive to full productivity.
· Ability to work and relate in a positive fashion toward individuals from diverse backgrounds and maintain effective working relationships.
