• To perform advance clerical work in a specific area of case processing, involving the filing, processing, and disposition of cases.

• EXAMPLES OF WORK: The individual filling this class is expected to perform any duties required to fulfill the purpose of this position. The following examples of work are typical duties performed in this position. Although these examples are descriptive of the duties, they are not all inclusive.

• Review legal documents, social files, service, execution and various other legal documents and forms to ensure adequacy, completeness and accuracy;
• determine processing required and initiate action by specific document or area of service, which may involve determination and compilation of information, determination of parties to court action, etc.;
• determine proper routing of court orders, complaints, petitions, information packets, etc.;
• prepare various legal forms and documents such as judgments, orders, executions, warrants, and bonds, which may involve interviews with petitioners;
• determine docket schedule, assign court dates and appoint attorneys, as required by service area; enter pertinent initial and updated data relating to areas of service and case activity;
• perform photocopying of relative documents; answers inquiries from and provide information to the public, attorneys, staff, petitioners, and others concerning case information and related activity, by telephone or in person;
• utilize the computer to retrieve necessary information for concerned parties; maintain attorney lists and other relevant records;
• may sit in on court proceedings and assist the Judiciary, such as marking exhibits, swearing witnesses, etc.;
• record court records by operation of audiotape machine and maintain tapes, as required by area of service;
• perform filing duties; distribute judicial orders; act as relief for departmental or other employees;
• receipt monies; perform special projects; and perform related work as required.
  
• Specific Examples of Work:
  • Perform data entry, digital file imaging, redaction, and multi-tasking within several computer screens and work processes.

• SUPERVISION BY: Supervisor of area to which assigned.
• KEY CONTACTS: Attorneys; Judiciary and staff; litigants; Deputy Juvenile Officers; parents and youth; law enforcement agencies; general public.
• WORKING CONDITIONS: Office environment; majority of work is sedentary; some walking required in delivery of files.
• PRIMARY EQUIPMENT, TOOLS, MATERIALS USED: Computer, keyboard and printer; telephone, standard office machines; various computer generated and handwritten forms, reports and other documents; audiotape machine.

MINIMUM EDUCATION AND EXPERIENCE:

• EDUCATION:
  
  • High School diploma or equivalent.
    
• EXPERIENCE:
  
  • One year general office/clerical experience.

• Minimum typing speed of 45 words per minute;
• ability to operate standard office machines, including a computer and typewriter;
• ability to communicate effectively, both orally and in writing;
• ability to understand and follow oral and written instructions;
• ability to make sound decisions in accordance with laws, regulations, departmental policies and procedures;
• ability to establish and maintain effective working relationships with others; ability to understand complex procedures and determine and prepare material from such procedures;
• ability to work in an independent fashion, with minimal supervision;
• ability to work with individuals from a variety of cultural, economic and ethnic backgrounds.
  
• SPECIAL REQUIREMENTS:

• ·Must submit to and pass criminal background check as prescribed by Courts.
• ·Employees in this position are subject to reasonable suspicion testing for illegal drug use.
• Initiate new cases, audit cases, digital imaging, front counter assistance, cash handling, assess fines and/or cost receipt payments, post bonds, perform special projects and related work as required, provide back up within department as needed.

• * This position is funded by anti-drug tax money. Anti-drug tax funds are currently appropriated until (03/01/2027 ). Retention of this position is dependent on need, effectiveness of the program, and/or continued receipt of the funds.
